As part of the ACS Performance & Quality Improvement department, this role will include patient interaction, but not face to face. This position is responsible for completing daily chart review and entering quality care gap reminders for upcoming appointments, as well as, completing daily outbound calls to schedule patients for appointments and to request medical records.

 

Accountable for performing core job responsibilities such as (patient registration, authorization and referral patient scheduling, switchboard/phones,  patient check in process, patient check out process, and/or medical record maintenance) in addition to basic and more complex front office workflow functions vital to the effective and efficient functioning of the medical practice, clinic, and/or department.  Depending upon the size and practice work flows, the Healthcare Administrative Associate may only perform one of the higher levels functions as opposed to multiple functions. May function as medical secretary supporting several physicians, acting as a liaison to assist in resolving issues in a timely manner.  Performs additional functions related to front office operations to meet specific needs of the practice, clinic and/or department.  Serves as a resource person for patient, physician, office staff, various facilities, service lines, and outside agencies utilizing effective communication, courtesy, confidentiality and professionalism in all interactions.  Makes appropriate decisions, reasoning, and problem solving to solve more complex problems related to the front office operations.

 

Work is performed in a medical office/clinic environment. Frequent communication/interaction with patients, families, significant others, visitors, physician/physician offices, outside agencies, and other departments.  Ability to utilize effective communication skills, demonstrate excellent telephone etiquette and interpersonal skills. Frequent telephone contact and computer use.  Work may be stressful at times. Work is supervised but requires personal skill in organization and prioritizing with attention to detail. As a representative of Carilion, you are expected to maintain a neat and professional appearance, demonstrate commitment to serve at all times and uphold the guidelines set forth in the office manual.  This position requires frequent standing, stooping, bending and reaching with hand dexterity and full range of motion for telephone and computer use.

Minimum Qualifications

Education: High school diploma or GED required.  Associate Degree or continued administrative education preferred.

Experience: Minimum of two years prior experience in a physician office/medical office, data processing and/or with multi-line telephones preferred. Previous registration and/or medical insurance experience preferred.

Other Minimum Qualifications: Must be customer driven, have strong grammar, spelling and punctuation skills, knowledge of medical terminology, knowledge of office procedures and equipment, proficiency in computer data entry/keyboarding, ability to use electronic medical records and good organizational, communication, and interpersonal skills.  Knowledge of Microsoft software applications preferred (Word, Excel).  Ability to multi-task essential.
