The Administrative Coordinator coordinates the activities for the research and grant programs, which may include processing pre- and post- award functions of the grants, coordinate activities of a grant, and administrative support for OSP management.
The job duties of the Administrative Coordinator include, but are not limited to, the following:
- Coordinates monthly labor distribution requests and effort reporting for sponsored projects.
- Must meet deadlines in preparing monthly journal entries for cash, salaries, accruals, and reclasses.
- Records all research related transactions and makes deposits as needed. Maintains spreadsheets linking each transaction to general ledger activity reports available within Lawson Grant Manager.
- Organizes and maintains accurate financial data to reconcile grants and generate invoices on a monthly basis.
- Works to resolve invoicing and billing issues by communicating with sponsors and awardees.
- Serves as a resource for Department Chairs, physicians and other investigators, including students from the VTCSOM, FBIR, VT and RUC participating in sponsored research. Provides direction, answers questions and resolves concerns, regarding research and grant administrative processes and making appropriate recommendations for resources and contacts as needed.
- Handles non-financial activities such as distributing proposals/statements/reports to faculty or the appropriate sponsoring agency. Also assists in the preparation of reports to federal and other sponsoring agencies.
- Administrative support for: Institutional Research Officer with respect to research, Senior Director of Research, Director of Clinical Trials, Director of Grants Management, Finance Director, and clinical research coordinators for Research and Development.
What We Require:
Education: Associate degree or equivalent combination of education or equivalent 4 years of experience required.
Experience: Minimum of two years experience in data collection and financial recordkeeping or analysis and/or advanced secretarial support required or equivalent combination in education and experience.
Other Minimum Qualifications: Advanced computer skills with knowledge of a variety of software programs, including Microsoft word, Excel, Access, word processing, spreadsheets and presentation or database software. Excellent communications and organizational skills required.
