This position will be a combination of working onsite and remotely on various days during the week.

 

Collaborate to support programs and educational offerings for professional staff and faculty.  Coordinate all parties involved at various organziational levels including internal and outside agencies, vendors, and consultants.  work will focus on Carilion Clinic Clinical, the Virginia Tech Carilion School of Medicine, and Radford University Carilion (RUC).  These efforts will include the full continuum of medical education: UME, GME, and CME as well as our Health Professional colleagues (RUC).  Assume other responsibilities and projects at  the discretion of the Sr. Director and Director of the Office of Continuing Professional Development.  


The job duties of the Administrative Coordinator include, but are not limited to, the following:
 

  • Serves as a resource for Senior Director, Director, Manager, adn OCPD team.  Provides direction, answers questions and resolves concerns, making appropritate recommendations for resources and contacts as needed.
  • Maintains databases and files, and effectively communicates with Senior Director, and management team.
  • Participates in administrative activities as assigned, including provision of clerical duties or higher level involvement such as coordination of processes or events.  May coordinate meeting rooms, catering, information, invitations, and appointments for events.  
  • Utilizes computer skills to create and maintain databases, spreadsheet files, PowerPoint presentation, and graphs ensuring accuracy, production and distribution.
  • Composes and/or types correspondence. Provides support for production of a variety of written materials including agendas, miniutes, and reports.  Prepates monthly reports and assists in maintenance of physician contracts.  Keeps files and reports in a confidential manner. 
  • Possesses excellent customer service and communication skills to work in a highly dynamic environment.  
  • Serves as an educational partner for CME activities offered through OCPD and TEACH.  Completes post-session-specific paperwork for CME processing and credit assginment for participants.  Track participation for certification of completions of selected programs.
  • Manage Departmental email accounts.  Respond in a collaborative, service-oriented, and timely manner.
  • Manage travel arrangements for external speakers and OCPD faculty and staff.  

What We Require:


Education: Associate degree or equivalent combination of education or equivalent 4 years of experience required.

Experience: Two years experience in data collection and analysis and/or advanced secretarial support required. Experience in emergency services or physician practice setting preferred.

Other Minimum Qualifications: Advanced computer skills with knowledge of a variety of software programs, including Microsoft word, Excel, Access, word processing, spreadsheets and presentation or database software. Excellent communications and organizational skills required.
