Performs advanced customer service functions that may include: releasing confidential medical information per regulatory and HIPAA requirements, chart tracking in the hybrid environment, customer service to patients and physicians, utilizes multiple source computer systems and responsible for prepping records to send to Document Imaging vendor

Duties & responsibilities may include but not limited: 

  • Greets, assists customers and provides reception coverage.  Validates and processes patient/clinical requests according to Release of Information Protocol, HIPAA Guidelines and regulatory requirements. Assists clinicians with EMR.
  • Retrieves, sorts, and distributes mail. Mails out information as appropriate to patients, physicians and other facilities.
  • Coordinates supply inventory and prepares order requisitions and sends in for fulfillment.
  • Preps medical and financial records to send to Document Imaging vendor.
  • Accesses multiple computer applications and performs data entry in hospital computer system.
  • Collaborates with the Supervisor/Manager to resolve concerns and troubleshoot issues; performs other duties as required to meet departmental objectives to include meeting quality and production standards, providing weekend coverage, attending educational activities in compliance with Carilion and HIM policies, and cross-training in other functions of the department as required.

Minimum Qualifications

Education: High School education required; Additional courses in medical terminology and. working knowledge of basic computer functions. Associate degree preferred

Experience: One to two years previous medical record or medical office experience preferred. PC, Windows, and keyboard proficiency required. Previous office experience and customer service skills required.

Licensure/Certification: None requierd.

Other: Good communicator, well organized, detail oriented, and good navigational skills between multiple computer systems. Must have excellent oral communication skills and be able to greet customers in a professional manner. Ability to work well with others in a team environment Ability to multitask in a fast paced office environment. Ability to accept/give constructive feedback.
