We are seeking an experienced and dynamic Marketing & Communications Consultant- Conference Planner to lead the development and execution of Carilion's annual portfolio of professional conferences. This high-impact role combines strategic planning, cross-functional leadership, and event execution to create experiences that align with organizational goals and showcase innovation in healthcare.
What You'll Do:
- Plan and Execute Strategic Conferences: Lead the full lifecycle of conferences from concept through delivery. Create agendas that reflect key priorities and align with Carilion's strategic goals.
- Collaborate Across Departments: Lead large, cross-functional teams and coordinate with clinical leaders, subject matter experts, and internal stakeholders to ensure content relevance and excellence.
- Develop High-Impact Agendas: Identify themes and emerging trends in healthcare. Partner with speakers, medical experts, and thought leaders to develop engaging and timely session topics.
- Oversee Event Logistics: Manage budgets, timelines, resources, vendors, and logistics to ensure smooth execution and high attendee satisfaction.
- Drive Process Improvement: Continuously seeks ways to optimize conference planning workflows. Recommend and implement best practices.
- Consult Across the Organization: Serve as a subject matter expert in conference strategy and internal communications. Provide guidance and mentorship to colleagues in Communications, Marketing & Planning.
What we're looking for:
- Proven experience in event or conference planning, preferably in a healthcare, nonprofit, or academic setting.
- Excellent project management, organizational, and leadership skills.
- Strong customer service and communication skills (written, verbal, and presentation).
- Ability to manage multiple complex projects and deadlines in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite.
- Experience working with vendors, budgets, and cross-functional stakeholders.
- Ability to work with sensitive and confidential information with discretion.
What We Require:
Education: Bachelor's degree or equivalent experience required.
Experience: Five years of related experience with at least three years in specialized area required. Maintains a broad knowledge of all marketing and communications areas and activities, while specializing with advanced knowledge in one or two specific functions.
